Summary: 

The Program Associate coordinates the work of Trinity faculty, staff, students, and alumni for CIE programs. These programs include; East Asian Studies at Trinity (EAST), The Mexico the Americas and Spain (MAS), International Studies, Cultures and Languages Across the Curriculum (CLAC), International Students and Scholar Services (ISSS), and Study Abroad. Successful candidates will possess skills in project management, budget management, social media and publicity, as well as the ability to supervise others, and to represent the University before various constituencies. Proficiency in an East Asian language (with a strong preference for Mandarin) is an advantage. In addition, occasional foreign travel may be required.

Duties and Responsibilities: 

Office Duties:

  • Budget management for the EAST Program
  • Assist colleagues in conducting the following duties:
    • Event calendar maintenance
    • Program website and social media management
    • Purchase order processing
    • Travel authorization processing, including expense reconciliation
    • Drafting, designing and producing CIE publications
  • Coordinate with CIE and University stakeholders
  • Communicate with Trinity alumni
  • Cooperate and collaborate with colleagues in the spirit of teamwork and collegiality
  • Comply with all Trinity University policies and guidelines
  • Perform other duties as assigned

Academic Program Duties:

  • Maintain records for EAST majors and minors
  • Liaise with student organizations
  • Supervise student assistants (Federal and Institutional Work-Study)
  • Support and coordinate CIE assessment activities

International Program Management and Support:

  • Faculty-led Study Abroad (FLSA)
    • Coordinate faculty, staff, student and alumni participation
    • Manage expense reports
    • Support the creation of promotional materials and organize events
    • Assist in the development of FLSA “best practices”
  • Exchange Programs
    • Maintain communication with partner universities (Kwansai Gakuin University, Shanghai Jiao Tong University, Tunghai University, United International College, and others)
    • Manage CIE international programs (International Entrepreneurship, International Scholar-in-Residence, Fulbright programs, etc.)
  • Internship programs
    • Manage CIE-funded internship programs
    • Maintain records of student internship projects

Event Management and Support:

  • Support EAST Program Chair in planning and execution of annual high-visibility events (Taiwanese film festival, Lunar New Year Celebration, Parents Weekend EAST Reception, etc.)
  • Assist in the management of CIE Program events (guest speakers, conferences, workshops, etc.)
  • Represent Trinity University at local CIE program events
  • Staff CIE promotional table at local University events (Study Abroad Fair, Trinity in Focus, etc.)
Experience Required: 
  • Experience in project management and with team-based project management software
  • Experience living abroad
  • Proficient using Microsoft Office, Adobe Suite, and the ability to learn new programs and web platforms quickly
  • Experience with marketing and communications particularly in the use of new media and social networking
  • Superior verbal and written communication skills
  • Demonstrated excellent judgment and discretion with confidential information
  • Must possess exceptional problem solving skills
  • Ability to work well under pressure, prioritize daily and long-term goals, multi-task and meet deadlines
  • Superb attention to detail
  • Ability to work both independently and in group settings
  • Professional demeanor
  • Position requires occasional evening and weekend hours
  • A willingness to work abroad
  • Language fluency in English and a second language. An East Asia language (e.g., Chinese, Japanese, or Korean) preferred.
Education Requirements: 

Bachelor’s degree (Masters degree preferred)
